New Email Rules And How They Impact Your Business

January 19, 2024•2 min read

As a business owner, you’ve probably heard all about the new email rules going into effect in February 2024.  While there’s discussion about whether or not these rules are only for people with large email lists, we believe that every business will benefit from implementing these new practices.

⏩ Who it’s for: all businesses, especially those who send 5,000 emails or more a day

⏩ What’s needed: dedicated email address; DNS settings updated; one-click unsubscribe

Dedicated email addresses

Having a brand-specific email address will help your brand stand out and look authentic (and less spammy).

The new rules going into effect mean that you’ll no longer be able to use more generic email addresses when sending out emails to your customers/clients.  That means that email addresses like [email protected] or [email protected] will no longer be allowed. 🤔

As a business or professional, you can get a custom email domain that matches your website and represents your brand.  Examples of this include [email protected], [email protected], [email protected], or [email protected].

Getting a custom email is relatively simple. 📧 Oftentimes all that is needed is to create one from your web builder or hosting plan, such as GoDaddy or Google. Some even offer free or discounted email domains with the purchase of a URL.

Some benefits of having a dedicated email address include creating a cohesive brand identity, improving your brand credibility, and providing more email security (meaning less chance of getting hacked or having data leaks).  It also helps to get your emails into your client’s inbox rather than going straight into spam or trash. 🔥

DNS records

This requirement can get a bit technical, so to help prevent your eyes from completely glazing over, here are some basics:

✅If you send less than 5,000 emails per day, you're required to authenticate your domain via DKIM.

✅If you send more than 5,000 emails per day, you're required to have DKIM, SPF and DMARC records in place.  This is just one area that the Taft Systems support team can assist you, so if you’re overwhelmed by this part of the tech requirement, please email us at [email protected] or CLICK HERE to sign up for help

👋Unsubscribe Capability👋

Everyone hates having an inbox full of spam emails, and it’s even worse when the sender requires several hoops to jump through to remove yourself from their list.  The new email rules help make it easier for folks to unsubscribe.  And while you might be thinking, “But I don’t want people to unsubscribe,” you’re better off keeping your contact list full of people who actually want what you’re offering.  This boosts your email deliverability rates and can even cut costs associated with sending out emails.

While these new rules might seem unnecessary for your new or small business, the reasoning behind them make them vital for every business.  If you need help setting up your accounts, please don’t hesitate to reach out! We provide this as a low cost service. 🤝
